1. Who We Are

Steyning Osteopathic Clinic is based at Shop 3, Cobblestone Walk, 74 High Street, Steyning, West Sussex, BN44 3RD. We provide osteopathy and McTimoney chiropractic treatment. For the purposes of data protection law, Steyning Osteopathic Clinic (Jen Nash) is the data controller responsible for your personal information.
Our practitioners are individually registered with their professional regulators — osteopathy with the General Osteopathic Council, and McTimoney chiropractic with the relevant chiropractic regulatory body. All patient information is handled in line with our professional obligations under the Osteopathic Practice Standards, alongside data protection law.

2. What Personal Data We Collect

To provide you with safe and effective treatment, we collect:
  • Contact details: name, address, phone number, email address, date of birth
  • Health information: medical history, details of your presenting complaint, examination findings, diagnosis, treatment notes and any advice given
  • Appointment and payment information
  • Any correspondence between you and the clinic, including emails, messages and phone calls
Health information is "special category data" under data protection law. We only collect what is relevant and necessary for your care.

3. How We Use Your Information, and Our Legal Basis

We use your information to:
  • Assess, diagnose and treat you safely and effectively
  • Maintain accurate clinical records, as required by our professional regulators
  • Contact you about appointments, including reminders and rescheduling

Our legal basis for processing your health information is that it is necessary for the provision of healthcare, alongside your explicit consent to treatment. Our legal basis for processing your contact and appointment details is our legitimate interest in running the practice, and the performance of the contract between us when you book an appointment.

This is separate from appointment reminders and other messages necessary for your treatment. We use Cliniko, a practice management system, to store appointment bookings and clinical records securely online. Cliniko processes this information on our instructions and is contractually required to keep it secure.
We do not sell or share your personal information with third parties for their own marketing purposes. We will only share your information with other healthcare professionals (for example, your GP) with your consent, or where the law requires us to do so.

Electronic records are held securely in Cliniko, which is password-protected and only accessible to practitioners and administrative staff involved in your care. Paper records are kept in a locked cabinet on our premises and are only accessible to authorised staff. We review our security arrangements regularly.

7. How Long We Keep Your Information

In line with the Osteopathic Practice Standards, we retain patient records for a minimum of eight years after your last appointment. If you were a child at the time of treatment, we retain your records until your 25th birthday. After this, records are securely deleted or destroyed.

8. Your Rights

Under data protection law, you have the right to:
  • Ask for a copy of the information we hold about you
  • Ask us to correct inaccurate or incomplete information
  • Ask us to erase your information, in certain circumstances
  • Ask us to restrict how we use your information
  • Object to certain uses of your information, such as marketing
  • Withdraw consent to marketing at any time
